What You’ll Do

  • Manage all real estate listing launches and contract to close, including overseeing a virtual professional who completes many of the tasks and creating systems for increased efficiencies and experience. Coordinate with agents, clients, contractors, and lenders to ensure smooth transaction processes.
  • Monitor transaction timelines and deadlines to ensure compliance.
  • Manage monthly expenses to ensure an accurate PnL.
  • Manage and coach agents and virtual assistants.
  • Handle administrative and operational tasks to optimize workflow and efficiency.
  • Control vendor relationships and negotiate contracts as needed.
  • Prepare and review transaction documents and reports.
  • Ensure compliance as it pertains to real estate transactions.
  • Build, implement, maintain, and OWN all systems for delivering excellent internal and external customer service, internal communication, team calendar, company social media presence internally and externally, office management, client care systems, team retention and recognition including events, and referrals. 
  • Follow the systems for our productivity rhythms to ensure agent productivity.
  • Provide a world-class experience for clients through phone and email on behalf of the team through contract and beyond.
  • Act as the liaison between real estate agents, clients, attorneys, escrow companies, and mortgage brokers.
  • Support the team growth efforts through posting recruiting ads, calling agent recruits, and scheduling appointments for Team Operators.
  • Plan and execute events for clients that are done at a high level to drive business referrals.
  • Ensure all team receipts are obtained and submit to the finance team, when reports are generated, take ownership of finding opportunities to reduce expenses.
  • Create and maintain the team’s operations manual that documents all systems and standards that are not able to exist within our technology leverage, Brivity. 
  • Keep the team leader informed of any challenges that arise and bring potential solutions. 
  • Commit to weekly 1:1 coaching sessions, PLACE trainings, and Brivity trainings.

Required Background: 

  • Real estate transaction management experience is a must (real estate license preferred, the company will reimburse upon completion if currently unlicensed)
  • 2+ years experience in an operations role 
  • Working knowledge of Google Suite, Microsoft Suite, and CRM software

Other Details: 

  • Compensation depending on experience, range from $50,000 - $70,000 per year
