A leading wealth management firm in Los Angeles is seeking a polished, reliable, and highly organized Office Coordinator to join their growing team.

As the first point of contact for clients, guests, and vendors, this person will play a key role in maintaining a smooth, professional, and welcoming office environment. The ideal candidate brings warmth, precision, and excellent communication skills, along with a proactive mindset and team-first attitude.

This is a full-time, onsite position with significant potential for growth within a collaborative and professional environment.

Key Responsibilities

  • Greet and assist visitors, clients, and vendors with a polished, professional demeanor
  • Open the office each morning; ensure all common areas are organized and guest-ready
  • Manage the office inbox and shared calendar, staying ahead of meetings and priorities
  • Coordinate office lunches, catering, and internal events
  • Maintain office supplies, pantry inventory, and order tracking
  • Process and track office-related expenses (supplies, catering, events, etc.)
  • Partner with facilities and vendors to ensure smooth daily operations
  • Support leadership and the administrative team with scheduling and general assistance
  • Collaborate with fellow coordinators to ensure consistency and cross-team support

Qualifications

  • 2+ years of experience in office coordination, hospitality, or administrative support
  • Highly organized with impeccable attention to detail
  • Polished, professional, and confident communicator
  • Discreet and trustworthy, with a strong sense of confidentiality
  • Proactive and solutions-oriented; thrives in a fast-paced environment
  • Positive, team-oriented, and approachable demeanor
  • Associate’s degree required; Bachelor’s degree preferred
  • Excellent references and a clean background required

Compensation

$70,000–$85,000 DOE + benefits package
